Steps to Upload New Users
Step 1: Log in to TimeClock 365
Step 2: Navigate to the Sidebar -> Users -> Click Import -> Set the Company, Subscription and Security Settings
Step 3: Download the CSV Template and open it in Excel or Google Sheets.
- CSV file with names and emails only: If you are uploading basic user information.
- CSV file with advanced settings: If you need to provide more detailed user data (e.g., address, roles, group IDs).
Step 4: Fill in the CSV Template
- Enter the required information in the CSV file:
- First and Last Name: Mandatory.
- Email: Mandatory.
- Mobile Phone: Optional, but useful for contact purposes.
- Employee Number: For payroll tracking.
- Full Address and City: Optional but useful.
- Work Start Date, Date of Birth, Gender: Fill these fields if needed.
- Group ID: When entering multiple groups, separate them by commas (e.g., GroupA,GroupB,GroupC) and make sure the cells are in the text format (right mouse click on cell -> Format cells -> Text)
- Invite via Email: Set to “1” if you want to send login credentials automatically, set to “0” if you don’t want to send it.
- Role ID, Hourly Rate, and other optional fields can be filled based on your needs.
- Once the file is complete, save it as CSV.
Step 5: Upload the CSV File by clicking “Browse files…” button.
Step 6: Import Users
- Once the file is uploaded, click “Import”.
- Wait for the system to process the file. A confirmation message will appear if the upload is successful.
Step 7: Navigate to the User list page (sidebar -> Users) to check newly created users.
Troubleshooting
- Invalid CSV Format: Ensure the file is saved as a CSV (Comma-Separated Values) format.
- Missing Fields: Check that all required fields like First and Last Name, Email, and Role ID are correctly filled.
- Multiple Groups: When adding users to multiple groups, separate group IDs with a comma (,)
