How to Set Up a Weekly Summary Alert for Managers
This guide explains how to create a weekly automated email alert for managers.
This summary report is an essential tool for proactive management, helping to quickly identify key data points, including missing employee punches, total hours, and overtime accumulations for the week.
Step-by-Step Guide
- Navigate to Alerts in the main sidebar and click “Create new alert”.
- On the new alert page, configure the following:
- Alert Name: Enter a descriptive name (e.g., “Weekly Manager Summary”).
- Select Employees: Choose which employees the alert will monitor. You can check the box for “Receive alerts for all users.”
- Select Watchers (Recipients): Choose which manager(s) will receive the email notification.
- Alternatively, you can edit any existing alert instead of creating a new one.
- Scroll down and expand the “Weekly summary” tab.
- Select the type of notification(s) you want to send by checking one or more of the following boxes:
- Trigger weekly notification for:
Check this box to send a comprehensive weekly report. This summary provides a general overview of the week, including total hours, absences, and any missing punch entries. It is the best option for a general-purpose weekly review. - Overtime summary:
Select this to receive a report focused specifically on overtime hours. It will summarize the total overtime accrued by each selected employee during the week. - Weekly hours overreach:
Use this to be notified when an employee works more than their standard weekly hours. After checking this box, you must also enter a number in the “Hours per week” field below it to set the threshold.

- Define the schedule for the alert:
- Day of the week to receive alert: Choose the day you want the email to be sent (e.g., Sunday).
- Time to receive alert: Enter the specific time for the email delivery.
- Click “Save” at the bottom of the page to activate the alert.
