How to Use One Absence Type’s Balance for Another

This guide explains how to use the accrued balance of one absence type for another.

For example, if an employee has accumulated 12 sick days (the primary absence type) throughout the year, they can use this balance for related absence types, such as:

  • 5 regular sick days (primary absence type)
  • 7 child sick days (secondary absence type)


Note: This feature is only available for customers with the absence management and accrual calculation module. If you do not have this module, you can purchase it under Billing -> Get New Plans (https://live.timeclock365.com/en/subscriptions/packages).

How to Set It Up

  • Navigate to Settings > Company Profile > Absence Types.
  • Locate the primary absence type you wish to modify, or create a new one that will accrue a balance for other absence types.
  • Check the box for “Calculate Accrual”.
  • Scroll down and enter the accrual amount for this primary absence type.
  • Click “Update” at the bottom of the page.
  • Next, find or create the secondary absence type that will use the primary absence type’s balance.
  • In the “Use balance of this absence” field, select the primary absence type.
  • Check the box for “Calculate Accrual”.
  • Scroll down and enter “0” in the Accrual schedule for the secondary absence type.
  • Click “Update”.
