How to Bulk Update User Information via CSV (Export and Update Feature)

This guide explains how to efficiently update information for multiple existing users at once using a CSV file. This process is ideal for making bulk changes without having to edit each user profile individually.

Note: This tool is designed for updating existing users only. It cannot be used to create new user accounts.

  • Do not change the original column headers in any way.
  • Do not delete any columns from the file.
  • Always save your final, edited file in CSV (Comma Delimited) format.

Step-by-Step Guide

Step 1: Export the Current User Data
  • Navigate to the Users -> Export and Update
  • On the “Export and Update User Information” page, click the Export User Info CSV for Update link to download the file to your computer.
  • Open a new, blank workbook in Microsoft Excel.
    To prevent formatting issues, it is crucial that you import the data into a new file instead of opening the CSV directly.
  • Navigate to the Data tab.
  • Click on From Text/CSV. (Depending on your version of Excel, this may be located under a “Get Data” menu.)
  • In the window that opens, find and select the CSV file you just downloaded and click Import.
  • A preview window will appear. Ensure the settings are correct:
    • File Origin: Unicode-8
    • Delimiter: Comma
  • Click the Load button to import the data into your spreadsheet.
Step 3: Edit and Save the File
  • Make all your required updates to the user information in the appropriate cells.
  • Once you have finished editing, go to File > Save As > CSV (Comma delimited) (*.csv)
Step 4: Upload the Modified File
  • Return to the “Export and Update User Information” page in TimeClock 365.
  • Click the Browse files… button and select your newly saved CSV file.
  • Click the Upload modified file button to apply all the changes to your users.
